This Privacy Policy explains how Intenprop collects, uses and stores information when accounting firms and their clients use the product during the Pilot phase.
This policy is intended to explain how information is handled. It is initial Pilot documentation and may be updated as the product develops.
Information We May Collect
Depending on how Intenprop is used, we may collect:
- Accountant account details, such as name, work email address and company association
- Client contact details provided by an accounting firm, such as name and email address, for the purpose of sending a secure request
- Rental-property information submitted by clients, such as property details, financial figures and comments
- Documents uploaded by clients in support of a property schedule request
- Basic technical information generated by using the product, such as request timestamps and workflow status
How Information Is Collected
Accountant information is collected when a firm is onboarded to the Pilot and when accountants use the product. Client information is collected when an accountant enters client details to send a request, and when a client responds through a secure link.
How We Use Information
Information is used to operate the Intenprop workflow: sending requests, presenting secure links to clients, storing and displaying submitted information and documents to the relevant accounting firm, and supporting the Pilot.
Client and Accountant Data
Client data submitted through a secure link is associated with the accounting firm that sent the request and is not shared with any other accounting firm using Intenprop.
Uploaded Documents
Documents uploaded by a client are stored in private storage associated with the relevant accounting firm and are made available to that firm's authorised accountants through the product.
Service Providers
Intenprop uses trusted third-party service providers to support application hosting, database and document storage, authentication, and transactional email delivery. These providers process information only as needed to operate and support the service.
Security and Access Controls
Intenprop is designed to isolate each accounting company's data, control document access through time-limited authorised requests, and validate client secure links on the server. Further detail is available on our Security page.
Data Retention
We retain information for as long as reasonably required to provide the service, meet operational requirements and comply with applicable obligations. Pilot retention practices may be refined as the service develops.

Cookies and Essential Session Technology
Intenprop uses essential cookies or similar session technology required to keep accountants signed in and to validate client secure links. These are used for core functionality rather than advertising or tracking.

We may update this Privacy Policy as the Pilot develops. Material changes will be reflected on this page with an updated date.
